Ball-Chatham Community Unified School District 5 Facilities and Grounds Committee met March 13

Here are the minutes provided by the committee:

Attendees included, Board member Ryan Murphy, Committee Members Patrick Phipps, Steve Bryant, Superintendent, Dr. Becca Lamon, and Mike Dobbs, Director, Facilities and Grounds

1475 E. Plummer Blvd.

The project was awarded to Michael von Behren Buildings and demolition began on October 2, 2023.

The concrete sidewalk and entrance roads have been poured. The new rooftop heating and cooling units have been installed and are currently being programmed. All office spaces have been painted and the crew has moved into the hallways. The ceiling grid and lighting installation is approximately 80% completed. The bump out on the front of the building will be painted a couple of shades darker to repair the discoloration from the old signage. The grassy area adjacent to the new sidewalk will need to be graded back to improve the transition for the mowing crews. The boiler installation is in progress and the new diffusers are being installed in the new ceiling grid. The new casework (cabinetry) and doors have been received by the contractor and will be installed once the building has been cleaned and clear of excess dust. During the recent plumbing inspection, it was noted that the current lift station does not have the capacity to pump the water away should the backflow device on the new 4” water line fail. The district asked for a quote to replace the existing lift station with an adequate-sized lift station. The quote came back at $52,200 and the change order process was initiated. A timeline for this work will be provided once it is known but it could extend the overall completion date due to equipment availability.

CES Roof Replacement

The roofing project was awarded to Top Quality Roofing out of Mt. Zion, Illinois. The work is scheduled to begin approximately May 24, 2024, with a substantial completion date of August 2, 2024.

CES/GIS Playground Replacement

A pre-bid meeting was held on February 21, 2024, with bids due on March 21, 2024. Drawings and project specifications are complete and are available to firms interested in submitting a proposal. Substantial completion of both projects on August 2, 2024.

GMS Pressbox

The press box roof and fence structure (mounted on the roof) were blown off during the wind storm on June 29, 2024. The damage was immediately reported to the district’s insurance company who scheduled an onsite visit by a claims adjuster from RGA Claims Management (RGACM). The adjuster was given a spreadsheet listing the damages that the district suffered which included the GMS press box. In October 2023, the district received a Statement of Loss and an estimate of payout from RGACM. The estimated repair cost for the press box was listed at $4,856. The district went out for bids to replace the press box and received one bid for $198,000. The project total is $231,157 which includes a 5% contingency and all architectural fees. Dr. Lamon and Mr. Dobbs explained that the district is committed to paying the architectural fees for providing the drawings and specifications for the replacement project at ($23,257.) In addition, the district estimates the cost to demolish the existing structure and provide electrical/public address circuitry, railings, and site work to be $59,887. The minimum amount that the district would spend is $83,144.
