Sherman Public Library Board of Trustees met February 21.

Here is the minutes provided by the Board:

The regular monthly meeting of the Sherman Public Library Board convened at 5:25 p.m. Present were Library Director Rachel Kocis and Board members Julie Horton, John Barrett, Mary Contri, and Elizabeth Heubner.

Items for Consideration Not on the Agenda: Rachel reported on a request from a local organization to host live ponies in the Library as part of a program on therapy ponies. The Board decided that live animals should not be hosted inside the Library building. The group will be allowed to hold their program in the parking lot or adjacent vacant lot.

Secretary’s Report: John Barrett made a motion to approve the Secretary’s Report from the January 17, 2018 meeting. Julie Horton seconded the motion, and it carried unanimously.

Treasurers/Financial Report: John Barrett made a motion to accept the Treasurer’s Report and to pay the bills. Julie Horton seconded the motion, and the motion carried by a unanimous voice vote. Liz Heubner made a motion to pay the mortgage payment from the Special Reserves account. Julie Horton seconded the motion and a unanimous voice vote in favor was taken.

Librarian’s Report: We had a 2,152 patron count in month of January. 2,763 items were circulated 2,589 times at our library, up 23.6% from last year.

Resident borrowing was at 2,577 checkouts while non-resident borrowing was 700 checkouts. Reciprocal borrowing had 163 checkouts. 3M Cloud netted 102 e-books. 14 e-audio books were loaned. Overdrive had 177 checkouts and 33 e-audiobook checkouts.

Library Events and Issues On Sunday January 28, the Annual Financial Report was filed, quarterly transfers were submitted, and employer taxes filed. Rachel issued a letter of support for the Adult Volunteer Literacy Program at LLCC on January 25. The paperwork for Elevate: Illinois Library Leadership Program was filed on 1/23/18. The X braces for shelving were located, but they are unable to be used due to modifications previously made to the shelving. Volunteer Julie Daugherty helped with the Olympic Flags Painted Rock Night on1/30/18. Take Your Child to the Library Day was Saturday, February 3rd. We had a record number attendance for a Saturday. Rachel has scheduled four courses to be held at Sherman Public Library for IHLS member catalogers to be administered by IHLS cataloging supervisor Edie Elliott. The courses are as follows: Book Cataloging—Tuesday, February 27, 9 am – 12 pm, Introduction to Authority Records--Tuesday, March 20, 9 am – 12 pm, Library of Congress Subject Headings--Tuesday, April 17, 9 am – 12 pm, and Dewey Decimal Classification-- Tuesday, May 15, 9 am – 12 pm. Several library displays in January included: New Year’s Resolutions, Sue Grafton Memorial, Book to Movie display, President’s Day, Black History Month, Groundhog’s Day, Blind Date with a Book, and several Valentine’s Day billboards.

Library Programs:

January children’s programs included Story-time on 1/15, 1/22, and 1/29 as well as Olympic Flags Painted Rock Night on 1/30. The children’s program attendance for January was 80. Adult programs included Book Club on 1/9, Blood Drive on 1/15, Ins and Outs of Medicare on 1/22, Third Thursday Reading Group on 1/18, and Illinois History Program with Tom Emery on

1/25. The adult program attendance for January was 49. Teen programs included Olympic Flags Painted Rock Night. Teen program attendance for January was 2.

Groups meeting at the Library in January were Quilters, Mother’s Group, Sangamon County 4H, Daisies, Girl Scouts, Boy Scouts, and F.P.H.A. The total meeting room use was 74.

Library Outreach included Sherman Elementary School on 1/18 & 1/19, All His Children on 1/12, and Villa Outreach on 1/5 and 1/19. The total monthly outreach for November was 370. The study room use totaled 74 patrons.

Upcoming programs include the following:

1. Restoring the Illinois State Executive Mansion with Justin Blandford of the IDNR Historic Preservation department February 19 at 6:30 p.m.

2. Ins and Outs of Medicare February 26 at 5:30 p.m.

3. Dr. Seuss Birthday Party March 1 at 6:30-7:30 p.m.

4. Story-times every Monday at 10:30 a.m. for ages 0-3

5. Americorps courses to be scheduled starting March with Scrubby Bear on March 5

6. Sangamon County 4-H group to clean up outside of Library on March 5

7. Healthcare Careers program March 5th for High school students

8. Food for Fines program to begin March 1-31

Upcoming Meetings/Training/Vacation include Book Cataloging Class February 27th 9 a.m.- 12 p.m., and the Big Talk from Small Libraries free online conference on 2/23 from 8:45-5:00 p.m.

New Business : Rachel reminded the trustees that Economic Interest Forms need to be filed by May 1, 2018. The Board also reviewed design suggestions from Embury for the upcoming renovations to the Library.
