Ball-Chatham Community Unified School District 5 Facilities and Grounds Committee met Sept. 11

Here are the minutes provided by the committee:

The project is complete and final pay is being processed

Auditorium Lighting Upgrade

The lighting upgrade is complete and available for use. The rigging inspection by Grand Stage revealed that the battens and associated components were not safe to be used and are being “made safe” by chaining and securing them in place until a permanent solution is found. The stage will still be available but the lighting and background curtains that are typically raised and lowered during performances will be restricted. The district is currently waiting for the full report from Grand Stage identifying the recommendations for a permanent repair or replacement.

GIS Playground

One section of equipment is non-functional due to manufacturing error. The contractor has calls and emails out to their vendor (who has been slow to respond), requesting updates on material lead times. That equipment has be taped off and made safe for kids to use the rest of the playground.

CES Playground

All of the replacement pieces except the new bridge fall into the above category. The replacement bridge has a lead time of approximately two weeks and should be installed by the end of the month. The playground has been made safe for kids to play around until the pieces can be installed.

GHS Track Replacement

Project completion has now been delayed until mid-October. The new track surface work is scheduled to begin the week of 9/23/2024. During the asphalt work, a piece of their equipment left asphalt residue on the entire sidewalk leading into the sports complex. The 500’ of sidewalk was pressure washed but it did not remove a lot of the staining. Byrne and Jones has accepted responsibility and are vowing to resolve the issue. We do not have a commitment to a striping date but that information will be passed on once the district receives it.

GHS- Roof Replacement

The roofing and flashing is scheduled to be completed by September 20, 2024.

CES Roof Replacement

The project is 95% complete. The metal flashing is scheduled to be installed the week of September 9, 2024. Some asphalt damage occurred when materials were being hoisted onto the roof. A portion of the damage has been repaired but not to the districts satisfaction. We are currently having conversations with Top Quality roofing on adequate repairs.

GMS Press box

The press box replacement at GMS was awarded to Midwest Construction. The steel structure and press box are in place. The stairs came in slightly wrong but should be completed by the end of the week. The A/C unit and electrical are scheduled to be done the week of September 16, 2024 followed by the logo on the back of the structure.

CES HVAC Upgrade

The project was awarded to R.D. Lawrence. Once the district receives the signed contract, we will hold a pre-construction meeting to get a better idea of start dates and a schedule of values. The project will be completed in two phases. Phase 1 will be putting in the Geo Thermal well field west of the building and a building addition to house the new Geo Thermal Equipment. Phase two will include installing the classroom heating/cooling cassettes along with new LED lighting and ceilings.

GHS Auditorium Sound Upgrade

A pre bid meeting was held on September 5, 2024 with no attendance and the bid opening is scheduled for September 19, 2024.
