Chatham Firefighter's Pension Board met January 3.

Here is the minutes provided by the Board:

• Meeting called to order at 1500 hours by President W. Rose.

Present were: President W. Rose, Secretary B. Osborne, Trustee J. Bolletta , Trustee B. Gorbett and Trustee K. Romadka.

Absent were: None

Public Comment and Concerns:

• No Public Comment.

Approval of Previous Meeting Minutes:

Motion to approve the minutes from the December 06, 2017 meeting(s) was made by President W. Rose and seconded by Trustee B. Gorbett, motion passed.

Treasurers/Investment Committee Report:

• The Chatham Firefighter’s Pension Fund account balance reported on the December 13, 2017 Bank & Trust Company statement balance is $ 25,076.98. Previous balance was $ 63,499.63 with $ 7,384.52 in deposits, $ 45,825.90 in debits, and $ 18.73 in interest.

Motion to accept Treasurers Report was made by Trustee K. Romadka and seconded by Trustee J. Bolletta, motion passed.

• Motion to approve payment to Mitchell, Vaught & Taylor Inc. invoice(s) for cost of services concerning the 2017 State of Illinois Department of Insurance Annual Report in the amount of $ 1,600.00 was made by Secretary B. Osborne and seconded by President W. Rose, motion passed.

• Motion to approve payment to Mitchell, Vaught & Taylor Inc. invoice(s) for cost of services concerning Accounting Services for 1st and 2nd quarter of 2017 in the amount of $ 1,600.00 was made by Secretary B. Osborne and seconded by President W. Rose, motion passed.

• Motion to approve payment to Mitchell, Vaught & Taylor Inc. invoice(s) for cost of services concerning Accounting Services for 3rd and 4th quarter of 2017 in the amount of $ 1,600.00 was made by Secretary B. Osborne and seconded by President W. Rose, motion passed.

• We made a motion and approved payment in our November Meeting Minutes to Timothy W. Sharpe, Actuary for completing a Chatham Firefighter’s Pension Fund Independent Audit, not to exceed the amount of $ 2,500.00. He has completed that independent audit and we have received the final report and invoice for payment of $ 2,500.00. This is just a reminder that payment will be made and that we will approach the Chatham Fire Protection District Trustees for $ 1,250.00 of that amount.

• Received correspondence from Charles Schwab about trade confirmation(s).

• Received November 01-30, 2017 statement period, trades, and explanation of fees and services from Charles Schwab and Mitchell, Vaught &Taylor Inc.

• Client Alert from Ottosen Britz Kelly Cooper Gilbert & DiNolfo, Ltd. For November 2017.

• Holiday Card from IPPFA.

• 2017 Pension Board Meeting Attendance Report.

• Illinois Department of Insurance, Public Pension Division SIREN, dated November 04, 2017.

• Discussion and appointment of the Chatham Firefighters Pension Board, FOIA and OMA Officer. Motion by President W. Rose to appoint Bruce Osborne as the Pension Board’s FOIA and OMA Officer second by Trustee J. Bolletta, motion passed.

• Discussion and appointment of the Chatham Firefighters Pension Board, Security Administrator. Motion by Secretary B. Osborne to appoint William Rose as the Pension Board’s Security Administrator second by Trustee B. Gorbett, motion passed.

• Timothy W. Sharpe, Actuary of Geneva, Illinois has been hired to complete an Independent Audit on the Chatham Firefighter’s Pension Fund. The Chatham Fire Protection District trustees have agreed to pay for half of the cost and it has been completed.

• Former Trustee Gerberding gave Secretary Osborne a letter (second-notice) from the United States Department of Commerce on November 03, 2017 stating that the 2017 Census of Governments, Survey of Public Pensions Report needed completed and returned by November 09, 2017. President W. Rose and Secretary Osborne contacted our accountant, Mr. Jim Nowicki, to complete this report and file with the U. S. Department of Commerce.

• Next scheduled Chatham Firefighters Pension Board Meeting is 1500 hours on Wednesday, February 07, 2018.

Training:

Note: Just a reminder: Illinois Department of Insurance (DOI) has made a rule, that all Pension Board Trustee’s, must complete 16 hours of training annually by August 12th of each year.
